Thank you for volunteering with Mat-Su 2024 Arctic Winter Games. Please complete the registration form below as completely as possible. It is imperative that you complete the entire form. The form assists with scheduling when we reach that point in November. The more information you provide the better. Next, you will receive an email to complete your background check within 10 days. We encourage you to complete the background check immediately. Scheduling will start in November. Volunteer Orientation and Training will start in January. Volunteer Commitment and Consent
I understand that my participation with the Mat-Su 2024 Arctic Winter Games is a voluntary activity and that I am donating my time and my labor by my own free choice. I agree to perform my assigned tasks in a responsible manner.
Volunteer positions have some risk associated with them. While the Mat-Su 2024 Arctic Winter Games strives to reduce these risks, they can never be completely eliminated. In consideration of the mutual covenants set out herein, and for other good and valuable consideration, the receipt and sufficiency of which I hereby acknowledge, I covenant and agree as follows:
I, the Volunteer, indemnify, release and hold harmless the Mat-Su 2024 Arctic Winter Games and its successors and assigns from any and all liability, claims, demands, actions, suits, causes of action, proceedings, expenses, costs damages or losses, contingent or otherwise, of whatever kind or nature, either in law or in equity, which arise or may hereafter arise, directly or indirectly, from my volunteer work with the organization.
I understand that this Waiver and indemnity discharges the Mat-Su 2024 Arctic Winter Games from any liability or claim that I, the Volunteer, may have against the Games with respect to bodily injury, personal injury, illness, death, or property damage that may result, directly or indirectly, from my participation. I also fully understand that the Mat-Su 2024 Arctic Winter Games does not assume any responsibility for or obligation to provide financial assistance or other assistance, including, but not limited to, medical, health or disability insurance, in the event of injury, illness, death or property damage.
Personal Privacy Consent
I understand that the Mat-Su 2024 Arctic Winter Games will collect and store personal information about me. In accordance with the Protection of Personal Information (PPI) and the policies of the Arctic Winter Games International Committee and the Host Society, personal information received from me will be held securely and in confidence, and will be used only for communication purposes and general record keeping.
Personal information such as my name, phone number and photo provided by leadership planning volunteers will be shared amongst members of the Games Services Committee and/or staff, in order to enable effective communication and information sharing during the Games planning process.
By sharing my personal information with you, I have consented to those uses and disclosures.
Confidentiality
I understand that in my role as a volunteer I may have access to both personal and confidential information and that the protection of this information is essential for legal, ethical, and business reasons. I, thereby, will respect the confidentiality provisions of the organization and will not publish, communicate, divulge, disclose, use, reproduce or distribute confidential information to any person or other organization, unless expressly authorized to do so.
I also understand that Copyright and any other intellectual property rights in all written materials (including material in electronic format) and other works produced will be owned solely by the organization.
Photo/Video Release
I consent and understand that images, photos and videos may be taken during my performance as a Volunteer and used by the Host Society and the Mat-Su 2024 Arctic Winter Games International Committee as part of their official, promotional, or educational documentation, regardless of the medium, form or support used and without any compensation.
Volunteer Orientation and Scheduling
All volunteers will be required to attend an orientation session before the Games begin. You will be contacted in the weeks before the Games with the date and time of the session(s).
Volunteers will be provided the ability to self-schedule volunteer shifts that best suit their availability and interests. Volunteers consent to working a minimum of 2 shifts but can schedule as many shifts as they are available for.
Criminal Record Checks
Please note that some volunteer roles within the Mat-Su 2024 Arctic Winter Games will require a Background Check (Criminal and Vulnerable Sector Checks, as applicable). Background checks are completed through Sterling Volunteers. You will be provided a link for the completion of the background check. Once the background check (Criminal and Vulnerable Sector Check) has been completed and returned to Mat-Su 2024 Arctic Winter Games, your volunteer status will be confirmed. Background checks must be completed not later than Dec 31, 2023. (If you require a Criminal and Vulnerable Sector Check, you will be required to provide these reports to the Host Society.)

Note: For volunteers aged 12-17, the Guardian Consent Form (emailed to parent/guardian) must be printed off and signed in ink by the volunteer as well as their Parent/Guardian and provided to the 2024 Arctic Winter Games either in original hard copy or emailed as a scanned copy of the original to forms@awg2024.org. Forms can also be completed at our Headquarters located at 902 E Palmer Wasilla Hwy, Palmer, AK 99645.
